This Refund & Cancellation Policy ("Policy") explains how cancellations, refunds, and billing disputes are handled for OrderOK ("OrderOK", "we", "us", "our") and applies to all subscriptions and addons purchased for our Services.

By subscribing to or using OrderOK, you agree to this Policy.

1. Subscription Plans & Billing

OrderOK is typically offered on a subscription basis (monthly, quarterly, annual, or as per your agreement). Charges may depend on:

  • Number of outlets
  • Number of devices/terminals
  • Selected plan (Starter/Growth/Enterprise)
  • Addons enabled (Inventory, Kitchens, Cash Register)
  • Custom onboarding/support requirements

You will be billed according to your selected billing cycle and invoice terms.

2. Cancellation Policy

You may request cancellation of your subscription by contacting our support team or your account manager.

A) When cancellation becomes effective

  • Cancellations typically take effect at the end of your current billing period
  • You will retain access until the subscription expires
  • We do not automatically refund unused days unless stated in a written agreement

B) Cancellation of addons

  • Addons can be disabled at the end of the billing cycle unless contractually committed
  • Some addons may have minimum billing terms depending on your plan agreement

3. Refund Policy (General Rule)

Unless specifically stated in a written agreement:

  • Subscription fees are non-refundable
  • Addon fees are non-refundable
  • Setup, onboarding, training, and implementation fees are non-refundable
  • We do not provide refunds for partial periods, unused usage, or plan downgrades during the billing cycle

This policy helps ensure continued system stability, support quality, and service provisioning.

4. Exceptions (Where Refund May Be Considered)

Refunds may be considered only in limited cases, such as:

  • Duplicate payments due to technical issues
  • Incorrect billing caused by OrderOK
  • Payment charged after confirmed cancellation (billing error)
  • Legal requirement under applicable laws

If a refund is approved, it will typically be issued to the original payment method.

5. Trial Period

If your plan includes a free trial:

  • You may cancel during the trial period to avoid billing
  • Once the trial ends and billing begins, normal refund rules apply
  • Trial availability and terms may vary

6. Non-Refundable Situations

Refunds will not be provided for:

  • Change of mind after purchase
  • Lack of usage of the platform
  • Business closure, relocation, or operational changes
  • Internet downtime, device issues, or third-party service failures not controlled by OrderOK
  • Service interruptions due to scheduled maintenance or unforeseen technical issues
  • Violations of Terms & Conditions resulting in suspension or termination

7. Downgrades & Upgrades

Upgrades

  • Plan upgrades may be applied immediately or from the next billing cycle depending on your agreement
  • Additional charges for upgrades may apply

Downgrades

  • Downgrades may take effect from the next billing cycle
  • No refunds are provided for downgrades within an active billing period

8. Payment Disputes & Chargebacks

If you have a billing concern, contact us before initiating a chargeback.

Important

Unresolved chargebacks may result in:

  • Account suspension
  • Restricted access
  • Delayed support services

We will investigate billing issues promptly and share the resolution.

9. How to Request Cancellation or Refund

To request cancellation or report billing issues, email us with:

  • Your registered business name
  • Phone number and email
  • Invoice number
  • Reason for request
  • Payment proof

We will respond within 2-5 business days.

10. Processing Time for Approved Refunds

If a refund is approved:

  • It may take 7-10 business days to reflect in your account
  • Processing times vary depending on banks and payment providers

11. Policy Updates

We may update this Policy periodically. Updates will be posted on this page with a revised Effective Date. Continued use of OrderOK after updates indicates acceptance of the updated Policy.
